Scored picks for small 2–5 crews

Sorted by Field usability · all four axes shown

Ordered by Field usability — the axis that matters most at this crew size. We never average the four axes into one rank; all four scores are shown so you can weigh the trade-offs yourself. A tool appears here even when its verdict for this crew size is a caution — the honest “where it falls short” text is shown as written.

Strongly recommended — this is ServiceM8's sweet spot. The $79/mo Growing tier fits an active 2-5 crew, and unlimited users means no per-seat penalty as you add techs. Scheduling plus automatic ETA texts shine for a small team (jassem91 "game changer"), and Trick-Necessary4601 notes it only really earns its keep above ~3 staff — i.e. precisely this band. Strong recommend provided the field crew is on Apple devices; the Android-Lite limitation is the one cross-cutting risk.

Good fit and the clear sweet spot. Operators at 2–5 techs report GD is industry-seamless and scales with them; per-route pricing stays predictable. Watch reporting depth and QuickBooks Online sync (sync it carefully or let a bookkeeper own it).

A reasonable all-in-one fit (flat 5-user tier, "best bang for buck") but usability is polarizing — trial it hands-on first. (rbabich [2023]; joemach; Chimpugugu switched away.)

Borderline. Scheduling and invoicing are "clean and easy for the guys in the field," but price and paid add-ons drive real switch-aways — it suits a crew that values polish over the cheapest option. (1k5lugc OP; ChuloCharm; PTCarpentry [stale].)

DRAFT — Not enough community evidence to verdict. Directional: this is Workiz's sweet spot — multiple recent switchers off HCP/Jobber/ServiceTitan at this scale report it works and is simpler/cheaper, tempered by app bugs and support complaints.

A 2–5 tech operation gets meaningful per-seat savings over FieldEdge or ServiceTitan at the same Starter price, but must accept a web-wrapper mobile app with no offline capability and frequent upload failures — viable if techs are in good-coverage areas and willing to do admin work at the office.

Not worth it at this size — a 4-tech shop reported ~$1,700/mo before add-ons with "features [that] do not come with base package," and small operators consistently call it overkill and "not a cost savings."

How this list is built

Method, not marketing
Score first · links second

Scores before links. Always.

Every tool here cleared the evidence bar on its own. A tool with no affiliate program that scores higher still ranks higher. The order is set by Field usability alone — never a payout, never a composite average. Each verdict above is the verbatim per-crew text from the tool's spec file.

A tool only appears once it has complete, non-placeholder scores on all four axes and a real verdict for this crew size. Tools still mid-research are held back — never padded in to fill the page. Read the full method.
